Terms and Conditions

Definitions and Parties

  • Vendor: Any individual, group, or business that completes the registration form and submits payment to participate in the Edmonton Multi Cultural Bazaar.
  • Organizer: Unity Celebrations, specifically the Event Management Team responsible for coordinating the Edmonton Multi Cultural Bazaar.

Registration and Payment

  1. Vendor spaces are confirmed only after both registration form completion and full payment receipt.
  2. E-transfer payments must be sent to celebrationsofunity@gmail.com with your business name in the message field.
  3. Vendors must include their business name when making payment to ensure proper allocation.
  4. Registration fees are non-refundable if cancellation occurs within 5 days of the event.

Vendor Spaces and Setup

  1. Each vendor will be assigned a designated space based on registration type and availability.
  2. Clothing vendors are permitted one display rack, which will receive an identifying number during setup.
  3. Setup times: Saturday (July 26) - 8:00 AM to 9:30 AM; Sunday (July 27) - 8:30 AM to 9:30 AM.
  4. Wrap up times: Start wrapping up half and hour before closing time and must leave by 7:30pm on Saturday (July 26) and 6:30pm on Sunday(July 27).
  5. Vendors must be fully set up and ready for business by the event opening time.
  6. Vendors are responsible for their own tables, chairs, and display materials unless otherwise arranged with organizers.

Vendor Conduct and Responsibilities

  1. Vendors must maintain their spaces in a clean, safe, and professional manner throughout the event.
  2. Vendors are expected to remain open during all advertised event hours unless otherwise approved by organizers.
  3. Vendors are responsible for their own cash handling, change, and sales transactions.
  4. Vendors must comply with all applicable laws and regulations related to their business operations.
  5. Vendors and one helper are permitted per registration; additional assistants require prior approval.

Product and Service Guidelines

  1. All products and services must be as described in the vendor application.
  2. Organizers reserve the right to request removal of inappropriate or misrepresented items.
  3. Vendors are solely responsible for the quality and safety of their products and services.
  4. Unity Celebrations and event organizers assume no liability for products sold or services provided.

Special Guidelines for Food Vendors

To ensure a safe and compliant environment, all food vendors must adhere to the following requirements:

Licensing and Certification

  • All food vendors must possess valid food handler's permits or food safety certification.
  • Certificates must be available for inspection upon request.

Sanitation and Hygiene

  • Proper handwashing facilities must be maintained.
  • Food handlers must wear appropriate hair restraints and gloves.
  • Regular sanitizing of food contact surfaces is required.

Food Storage and Handling

  • Cold foods must be kept below 4°C (40°F).
  • Hot foods must be maintained above 60°C (140°F).
  • Proper separation of raw and ready-to-eat foods is mandatory.
  • All food items must be properly labeled and dated.

Special Guidelines for Henna Artists

To protect our guests and maintain quality standards:

Natural Henna Only

  • Only natural henna products are permitted at this event.
  • Black henna or any products containing PPD (para-phenylenediamine) are strictly prohibited.
  • These substances can cause severe allergic reactions, skin burns, and long-term health issues.

Compliance and Safety

  • Vendors may be asked to show their ingredients for verification.
  • Any vendor found using chemical henna will be immediately removed from the event without refund.
  • Vendors must display appropriate allergy warnings and offer patch tests upon request.

Liability and Insurance

  1. Vendors operate at their own risk and are responsible for their own insurance coverage.
  2. Unity Celebrations and event organizers are not responsible for any damage, theft, or loss of vendor property.
  3. Vendors assume all liability for any harm caused by their products, services, displays, or personal actions.
  4. By participating, vendors agree to indemnify and hold harmless Unity Celebrations and all event organizers from any claims arising from vendor activities.

Event Management Rights

  1. Organizers reserve the right to accept or reject any vendor application.
  2. Organizers will determine all vendor space allocations.
  3. Organizers reserve the right to ask any vendor to leave for non-compliance with these terms or for conduct deemed detrimental to the event.
  4. Repeat vendors from previous events may be given preference in space allocation.
